Managing Groups You Own
Purpose. This guide explains how users who have been assigned as owners of Microsoft 365 Groups or Security Groups can review and manage those groups through the My Account portal.
Open the My Groups portal
Accessing Your Groups
Sign in using your work or school account.
Open the My Groups portal using the link above.
Select Groups I Own to display the groups for which you are listed as an owner.
Viewing Group Details
Select the group you want to manage.
Review the information available for that group.
- Group name
- Description
- Membership
- Owners
- Group type
Note: The settings available to you depend on the group type and your organisation's policies.
Managing Membership
Adding Members
- Open the group from Groups I Own.
- Go to Members.
- Select Add Members.
- Search for the user by name or email address.
- Select the user and choose Add.
Removing Members
- Open the group.
- Select Members.
- Locate the user you want to remove.
- Select Remove next to their name.
- Confirm the change.
Managing Group Owners
Group owners are responsible for maintaining group membership and the settings available to them.
- Open the group.
- Select Owners.
- Choose Add Owners, or remove an existing owner.
- Save the changes.
Editing Group Information
Depending on organisational policy, owners may be able to modify:
- Group name
- Description
- Privacy settings
- Membership settings
- Open the group.
- Select Edit or Settings.
- Make the required changes.
- Save the changes.
Good Practice Checklist
☐ Review membership regularly and remove users who no longer require access.
☐ Log a request with Digital Services to Remove groups that are no longer required.
☐ Only add users who require access, following the principle of least privilege.
Troubleshooting
I cannot see a group I should own
Confirm that you are listed as an owner.
Allow time for recent ownership changes to synchronise.
Contact ICT Support if the group still does not appear.
I cannot access the My Groups portal
Make sure you are signed in with your organisational account.
If access remains unavailable, contact ICT Support.
